GIRL EVENTS AND ACTIVITIES

Communicating your Event/Activity:

Ontario Council will list your Girl Event on the Ontario website calendar if:
• you are planning on hosting 4 or more Units of girl Members
• your event is open to all girl members in Ontario that may wish to participate
Note: there can be age or branch restrictions on the event

If you are planning to host an event that is local in nature and has less than 4 Units participating, just go ahead! Your Unit Administrator can help you promote your event electronically to Guiders within your Community.

GIRL EVENTS AND ACTIVITIES

Event Registration:
For events that meet the criteria for listing on the provincial calendar, registration can be done through the Event Coordinator with all registration fees payable to Girl Guides of Canada, Ontario Council. Expenses for the event are also reimbursed through the Event Coordinator at Ontario Council.

If you are working with an outside supplier that will accept direct payment from Units (eg. sporting or cultural event that offers discounted group tickets) there is no requirement to have registration through the Ontario Council Event Coordinator.

Financial Assistance:
Generally, events should be self-supporting by the Members participating, however, Ontario Council will provide limited financial assistance for Girl Events and Activities as indicated below:

1. Public Awareness Activities

Examples of Public Awareness Activities include community parades, festival display booths, memorial projects such as Remembrance Day wreath laying.

In order to encourage more visibility across the province, Ontario Council will support the costs for these activities to a maximum of $50 once a Guiding year (September 1 until August 31) per activity (not per Unit participating) until the provincial capped monies are depleted.

If multiple Units are participating in the same activity, the monies only apply once to the activity and not to each Unit participating in the activity.

Criteria
• girls must be actively in attendance and in full uniform
• the activity must raise the visibility of Guiding in the community without
financial gain to the members involved (ie. cookie sales would not qualify)
• the Responsible Guider must submit the request using the Girl Event Planning &
Support form to the Event Coordinator (event.coord@guidesontario.org) at least
one month prior to the event date for consideration. Click here for the Girl Event Planning & Support Request Form.

If you require promotional brochures from Girl Guides of Canada – Guides du Canada for use at this type of event, please email:
membershipdev.coord@guidesontario.org. Please allow 4 weeks for delivery.

2. Girl Program Opportunities
Examples of Girl Program Opportunities include Thinking Day, badge days, program activities NOT defined as camping or independent international trips, OAT or national trips, environmental projects that have not had funds designated by the C.O.R.K. fund.

The costs for such events may be covered in several ways:
• those attending are charged an activity fee for the event
• Units may choose to subsidize the overall cost of the activity through their unit monies rather than charging the full amount to the participants. There is no restriction on this.
• Participants may choose to fundraise for their overall costs rather than charging the full amount to the participants. Fundraising guidelines must be followed at all times (Click here to view fundraising guidelines and process). • Ontario Council will provide support to program activities outside the unit’s regular meetings. Up to $50 once a Guiding year (September 1 to August 31) can be obtained to support the cost of user space rental required to conduct the activity.

Criteria for Assistance:
• To be eligible a minimum of 4 Units of girl Members must be participating in
the activity (can be multi-branch)
• Excludes sleepover activities
• Excludes overnight camping event (see Camp Subsidy program for more
details on the subsidy program available for this type of activity – click here)
• Excludes independent, OAT or national international or interprovincial
trips
• Available to all branch levels
• Activity must take place outside the Unit’s regular meeting
• the Responsible Guider must submit the request in writing to the Event Coordinator (event.coord@guidesontario.org). Click here for the Girl Event Planning & Support Request Form. This must be received at least one month prior to the event date.
