About this opportunity

Reporting to the Manager, Member & Unit Support, you will lead the implementation of unit support procedures and provide regular member support utilizing evolving best practices. This role supports member service delivery and works in collaboration with staff and volunteers to create a seamless membership experience.

Roles and Responsibilities:

  • Lead the implementation of unit support procedures, including setting up and closing units, securing unit space, ensuring unit readiness, and establishing and monitoring unit capacity, following established best practices.
  • In coordination with the Specialist, Member Services Projects, support the Unit Guider Renewal process, liaising with senior volunteers where required, and completing data entry.
  • In coordination with the Membership Screening Team and volunteers, support the efficient placement of new adult members (Unit Guiders) in units.
  • Respond to inquiries and provide solutions that support efficient organizational operations and ensure a positive customer service experience.
  • Provide ongoing unit support, including record keeping, form management, database maintenance, quality assurance and unit rosters.
  • Provide subject matter expertise on local membership opportunities and challenges, working very closely with volunteers in the delivery of local member and unit support.
  • Provide support to units in researching and contacting meeting space venues, as required.
  • Support membership procedures, being the point-person for nationally developed and locally executed processes.
  • Maintain a high level of knowledge concerning the membership database (iMIS) to access information and generate reports.

Qualifications:

  • Comfort with ambiguity and working in a fluid, fast-paced environment.

About this Opportunity

When meeting in person, it is essential for units to have a safe, desirable location to gather. The Unit Space Coordinator will provide specialized support to unit space. In this role you will contribute to positive girl experience by working to ensure units are supported with locating and securing suitable space for unit meetings. You will report to the Team Lead, Unit Spaceand work alongside key internal stakeholders across the organization.

Responsibilities include:

  • Working with various external partners (i.e., school boards, community centres, local businesses) to research and submit permit applications to secure unit space (indoor and/or outdoor).
  • In collaboration with key internal stakeholders, lead and support the implementation of unit space procedures, following established best practices.
  • Researching and contacting appropriate unit space options and booking unit space for new or moved units.
  • Working alongside Unit Guiders and senior volunteers to determine unit space needs, as well as actively monitoring and supporting these needs.
  • Daily administration related to unit space including cancellations, communicating updates to unit Guiders, permit application timing awareness and member customer service support.
  • Researching corporate partners and creating materials to promote space partnerships
  • Review, maintain, and make recommendations for improvements to the unit space support processes, policies, and tools.
  • Provide ongoing unit space support including record keeping, document management, database maintenance, quality assurance and responding to inquiries to ensure a positive customer service experience.

Girl Guides of Canada is seeking a Waterfront Staff (Contract)

About This Opportunity

Reporting to theWaterfront Manager, in this role, you will be a part of the Camp Olave Summer Staff Team. With over 1500 meters of ocean beach overlooking the scenic Georgia Strait, this position will allow you to play an important part in the girls’ fun, friendship, adventures and discovery at Camp Olave. The camp has been operating for 95 years providing a variety of camping experiences for girls. In this exciting position your main responsibility will be to ensure the safety of participants in all waterfront activities including swimming, kayaking and canoeing. Additionally, you will support other activities in the camp such as leading girls through various nature programs and special events.

In this role you will:

  • Ensure the safety of participants in all waterfront activities such as swimming, kayaking and canoeing by:
  • Maintaiing a safe swimming area
  • Instructing all participants in waterfront safety as it pertains to the activity.
  • Completes daily inspections of the waterfront safety equipment, first aid kits, boathouse, boats and related equipment and reports any concerns or deficiencies to the Waterfront Manager
  • Establishes and implements special events (e.g. Sandcastle building, campfire) in cooperation with the Waterfront Manager
  • Assists with nature programs for campers by performing such duties as:
  • Demonstrating activities and displays in the Nature House
  • Leading nature walks on the beach and along trails.
  • Conducting evening nature programs such as a introduction to astronomy
  • Orienteering activities
  • Ensuring that the self-guided nature materials (located in the office) are always ready for use and providing orientation in their use for Guiders.
  • Trains Guiders to the archery program so that they may safely lead their own Unit in the activity.
  • Facilitates the Low Ropes course in coordination with the Low Ropes Site Manager
  • Performs other related duties as assigned. 

Requirements: 

  • Current NLS Waterfront Award. Candidates with NLS Pool are welcome to apply and if hired the NLS Waterfront course fee will be reimbursed upon successful completion.
  • Resume and reference letters documenting at least 2 years (or 750hours) of employment experience in a similar position.
  • Current Standard First Aid and CPR certification

Girl Guides of Canada is seeking a Senior IT Administrator.

The IT Team at GGC includes professionals focused on IT projects, information systems, data and reporting, digital transformation and applications integration. Our systems serve 80,000 volunteers and members as well as systems for staff across Canada. As part of the IT Team, the Senior IT Administrator will bring IT Microsoft server and cloud technology expertise, advise on best practice IT system design and processes, and provide cyber security and risk oversite. 

The Senior IT Administrator will:

  • Provide a cyber security lens on activities of the IT team members and IT partners responsible for GGC’s network, infrastructure, cloud IaaS, PaaS and SaaS and support to our end users. 
  • Identify and recommend risk mitigation strategies for IT systems and processes. 
  • Assist the Information Security Analyst with vulnerability scanning and risk assessments.
  • Ensure network infrastructure, IaaS, PaaS is securely designed and configured.

Reporting to the Manager, Accounting, the Accounting Analyst will prepare, assist, process and perform a variety of specialized duties associated with analyzing accounting needs. 

In this role you will:

Girl Guides of Canada is seeking a Desktop Support Analyst

About this Opportunity

The Desktop Support Analyst reports to the Senior Manager,Information Technology and will collaborate with the IT team to support our users and maintain our IT systems with a focus on laptops, desktop, and mobile devices. The successful candidate will be skilled and up to date with the latest IT trends.

In this role, you will:

  • Setup and deploy, redeploy, repair, and maintain laptops and desktops.
  • Onboarding, changes and offboarding of users from our IT systems according to GGC procedures.
  • Ensure all desktops and laptops are patched in a timely manner.
  • Monitor ticketing system, ensure tickets are appropriately assigned and responded to within target times.
  • Monitor quarantine taking care to identify and release only legitimate emails.
  • Office 365 user administration.
  • Tracks, and keeps current a database of IT Assets; a hardware and software inventory shared with the IT team
  • Learn and maintain skills and qualification for IT systems used by GGC.
  • Coordinate with the facilities team to safely ship (and receive) devices to (and from) our end users
  • Monitor manage engine desktop central to pre-emptively address problems with endpoint devices (e.g. low disk space, missing/failing updates, disk errors).
  • Monitor the health of onsite network and server equipment and internet connections.
  • Diagnoses and resolve minor network issues.
  • Contribute to revisions of procedures and guidelines relevant to the role.
  • Help ensure use of IT systems are in compliance with IT policy, standards, procedures, guidelines
  • Monitors GGC ticketing system, ensuring timely resolution and that these are closed once completed. Follow escalated tickets to ensure these are completed.
  • Monitor IT Partners ticket system and comment with supporting information to help ensure speedy resolution or escalated these to internal ticketing system when required.
  • Provide one-on-one end user support by Zoho assist, MS Teams/phone, e-mail or in person for computer- and equipment-related problems, talking users through procedures to diagnose the source of problems, answering questions about how to use software and e-mail and in operating equipment, communicating in a user-friendly way based on the experience and knowledge level of end users
  • Create and maintain and share knowledge base guides for how to resolve common issues.
  • Prioritizes issues to ensure appropriate response time based on severity. Take responsibility for the quality and timeliness of resolution.
  • Technical support for equipment at camps and other properties.
  • Assist with Office 365 and basic device support for provincial volunteers.
  • Assist the digital adoption and training specialist in developing and providing training when required.
  • Ensures all antivirus/antimalware/MDR, anti-spam are active and maintained on desktops and laptops.

  • Develop recommendations on program media content based on the interests of girls, current issues and trends, and relevant skills for girls today.  
  • Work as an integrated member of other GGC departments, including those working directly with girls, parents, and volunteers to support alumnae engagement and growth strategies.

GGC is seeking an Association Management System Administrator, who will be reporting to the Team Lead, Association Management System. This role will help administer and support the GGC Association Management System (AMS), iMIS. As part of the team, this role will support the AMS Staff Site users and volunteers and members, ensuring tickets are addressed in a timely and efficient manner.

About This Opportunity:

Reporting to the Chief Financial Officer, the Project and Administrative Coordinator will support the Chief Financial Officer and the Finance Department management team more broadly. The Finance Department is a team approximately 40 individuals responsible for the financial accounting and reporting of multiple organizations within Girl Guides Canada, including the national operations, provincial councils, and thousands of smaller components across Canada.

In this role, key responsibilities will include:

  • All aspects of senior level administrative support including managing flow of communications, document preparation (presentation materials, memos), meetings management (scheduling meetings, preparing agendas, tracking tasks, preparing minutes), proactively managing communications and inquiries, and records management.
  • Supporting functioning of two finance related committees – Audit & Finance Committee of the Board of Directors and the Provincial Treasurers Committee
  • Project management support for the finance team including development of tools to plan, monitor and report on multiple finance projects.
  • Coordination with various stakeholder groups including volunteer operational and governance committees.
  • Working collaboratively with colleagues to solve issues and develop ideas for process improvement.

You are the Ideal Candidate if you have:

  • Post-secondary education in Business Administration, Project Management, or related field, including specific training in project management.

About This Opportunity

As part of the national Marketing and Communications team, the Email Marketing Communications Specialist will report to the Team Lead, Provincial MarComm Support and will work cross-functionally with internal teams to strategize, develop, and manage effective communications, meeting our girls, caregivers, volunteers and potential new members where they are and ensuring they have the necessary information to make the most of opportunities within Guiding.

This is a unique role that blends both skills in direct email marketing and understanding of consumer journeys with the storytelling ability of a communications professional. You will be developing compelling emails and email journeys to drive new member acquisition as well as ensuring current members and families are connected with Guiding initiatives throughout the year. With a strong attention to detail, a dash of creativity and a level head under pressure, you will be very successful in this role.

Roles and Responsibilities will:

  • Provide strategic counsel in the development of integrated email communications strategies for members, caregivers, volunteers and external audiences with a particular focus on member retention and new member acquisition.
  • Develop end-to-end email campaigns, set triggered messages, manage list segmentation strategies, develop and execute automated journeys for lead generation.
  • Imagine, design and create compelling visuals and copy to engage target audiences with clear calls to action.
  • Evaluate the effectiveness of email deployments, provide regular performance reporting and full campaign analysis, and make ongoing recommendations, including but not limited to, metrics analysis, A/B testing, enhanced use of graphics, updating templates and editorial goals, etc.
  • Capitalize on strong knowledge and understanding of GGC’s mission and programs to effectively communicate the organization’s value proposition to audiences.
  • Represent the email marketing position among cross-functional partnerships, presenting recommendations for program enhancements and new initiatives in order to meet goals.
  • Understand the needs of members, caregivers and volunteers to offer the clearest, most compelling messaging and ensure that the best communications channels and tactics are used.
  • Provide guidance to members, volunteers and staff on email communications best practices, GGC’s policies and guidelines related to communications and brand, and the use of GGC’s brand for communications purposes.
  • Collaborate with other members of the Marketing and Communications team and provincial volunteers to deliver world class products.

GGC is seeking an Ontario Cookie Sales Liaison, who will be reporting to the Revenue Team Lead, Cookie Logistics. This role will help provide provincial support for the Girl Guide Cookie campaigns.

Roles and Responsibilities will:

  • Provides direct support to Ontario Council in working closely with the Provincial Cookie Adviser, Provincial Commissioners, Provincial Treasurer and Provincial Team Lead specific to the cookie program.
  • For both the spring and fall cookie campaigns, monitors the campaign implementations and ongoing results against plans and goals; ensures all Nationally provided deadlines are met.
  • Works directly with the Revenue Team with an Ontario specific lens in implementing cookie campaign logistics, ensuring all campaign deadlines are met by the province.
  • Works with external organizations to identify new selling opportunities across Ontario to ensure continued growth of cookie sales within Ontario.
  • Manages location capacities and supports Cookie Receivers to accommodate growing cookie sales.
  • Works with Provincial Cookie Adviser to recruit sufficient Cookie Receivers for each campaign.
  • Supports the Provincial Cookie Adviser in planning and implementing all special cookie projects approved by Ontario Council
  • Support members throughout the campaign, including but not limited to parents who are not paid, and stolen cookie occurrences.
  • Supports Ontario Council in budget development as well as cookie campaign forecasting by providing previous campaign records.
  • Works with Finance Compliance coordinator to address blocked units during cookie ordering and delivery periods.
  • Develops reports for Ontario Council in partnership with the Provincial Cookie Adviser outside of the regular campaign debriefs and monthly meetings with all Provincial Cookie Advisers
  • May need to attend Council events as required and may prepare/deliver information or presentations.
  • Reports to the Revenue Team Lead.
  • Provides active, year-round support to volunteers, taking into account the individual needs and requirements of each volunteer to enable them to deliver their mandate.
  • Acts as liaison between the volunteer and the staff, systems and processes of the organization
